In this privacy statement, we explain the reason(s) why we are collecting and using your personal data. You can read below why we process the personal data of (potential) members of the trade group, trade association managers, volunteers, course attendees, participants in a training programme, suppliers, contractors, visitors to our website and other connections. We will also indicate how long we will store your data. Depending on your capacity, you can read below what applies to you.

FOR POTENTIAL MEMBERS OF THE TRADE ASSOCIATION GROUP

If you provide us with your personal data in connection with a possible membership, we will use your personal data to inform you about the trade association group and the membership. This process is necessary to enable you to enter into a membership agreement with us. We consider this membership to be an ‘agreement’ within the meaning of the General Data Protection Regulation.

If you eventually decide not to become a member then we will remove your personal data no later than 2 years after our last contact with you.

FOR MEMBERS OF THE TRADE ASSOCIATION GROUP

Entering into and administering membership
We collect and use the personal data that you provide us with because we need this to register you as a member and to administer your membership. We will, of course, inform you about the trade association group, the membership, the activities that we organise and developments in the sector that are relevant to you. We will also use your data for other essential aspects of the membership such as charging for the membership fee.

Entering affiliated companies on the website
If you have given us permission to do so when entering into the membership agreement, we will include your company details on our website. In this way, potential customers can contact you through our website.

We will keep all personal data that we collect and use for the administration of the membership up to 2 years after the association year in which the membership was terminated.

Commercial mailings
In our newsletters, we also bring any matters or services from third parties to your attention that may be of interest to your company. These mailings may therefore contain content of a commercial nature. We will ask for your permission in advance for the sending of mailings of a commercial nature. Every time we send such a mailing, you will have the opportunity to let us know that you no longer wish to receive this. See the unsubscribe button at the bottom of each mailing. We actually use a newsletter mailing service for the sending of the newsletters. The personal data needed to send you the newsletter is therefore passed on to this service provider. We have a legitimate interest in passing on your data, this being to outsource certain activities to third parties.

FOR BOARD MEMBERS AND VOLUNTEERS OF THE TRADE ASSOCIATION GROUP

The trade group has a trade group board. We collect and use the personal data of our board members to enable them to carry out their duties. We consider the relationship between a board member and the trade group to be an ‘agreement’ within the meaning of the General Data Protection Regulation. The processes that we carry out are necessary for the implementation of the agreement.

If you are a volunteer for the trade group, we collect and use your personal data in order to communicate with you about the various aspects of your voluntary work. This processing is therefore necessary for entering into and implementing this agreement.

We will keep the personal data of board members and volunteers for a period of 7 years after the financial year in which the position was terminated.

FOR COURSE ATTENDEES OR PARTICIPANTS IN A TRAINING PROGRAMME

If you have registered for a course or training programme, or your employer has done this for you, then we collect and use your personal data to enable us to produce a certificate or diploma for you. This processing is needed for the implementation of the course agreement. We will use your email address to send you this privacy statement and will then remove it afterwards. We may also pass on your personal data to the organisation that is providing the course or training programme on our instructions, so that this organisation knows who will be attending the course and can produce the certificate or diploma. We have a legitimate interest in passing on your data, this being to outsource certain activities to third parties.

We will keep the personal data of course attendees and participants in training programmes for a period of 7 years.

FOR SUPPLIERS AND CONTRACTORS

We collect and use the personal data that suppliers or contractors provide us with because we need this to enter into any agreement with you and to implement it. For example, if you should attend a trade association event as a speaker. If you are a (potential) supplier or other contractor, your personal data is needed for the conclusion and implementation of the agreement. In the case of purchasing, this is necessary to be able to inform you which specifications or requirements are needed to fulfil a certain transaction or service as far as we are concerned, to be able to pay your invoices and to be able to communicate with you quickly and efficiently regarding other aspects of the assignment/agreement.

We will keep the personal data of suppliers and contractors for a period of 7 years after the financial year in which the agreement was fully implemented. The period is the same as the fiscal retention period.

FOR VISITORS TO OUR WEBSITE

Contact form
You can fill in a contact form on our website. We use the contact details that you fill in here to inform you about the association and the membership, or to be able to answer your question. We have a legitimate interest in processing your personal data for these objectives and that is to be able to assist you as well as possible and to provide you with the correct information.

We will keep the personal data that you provide us with on the contact form until no later than one year after our last contact with you.

Digital newsletter
In addition, you can also subscribe to the newsletter via our website. In this newsletter, we provide information about the trade association, the membership, the relevant developments in the sector and we bring to your attention any matters or services from third parties that may be of interest to your company. Furthermore, our website uses cookies. Cookies are small text files that are placed on your computer, tablet or smartphone during your visit to our website. Information is stored in these text files that can be recognised by the website again during a subsequent visit.

We place primarily functional cookies. We do this to ensure that the use of the website functions well. This might, for example, include the retention of your login data during your visit.

FOR OTHER CONTACTS

We collect and use personal data that other contacts provide us with because this is necessary to take care of our legitimate interests. If you are a contact of ours, then we will use your details to get in touch with you regarding objectives that are in the interest of our trade group. This might, for example, include discussions regarding a possible collaboration, the provision and acquisition of information and the maintenance of our network.

The trade group regularly organises events that may also be visited by companies who are not members. If you register for an event, we will consider this to be an agreement within the meaning of the General Data Protection Regulation. The processing of your personal data will then be necessary to implement this agreement with you (informing you about the event and communicating with you about any other aspects of the agreement such as any costs).
We will keep the personal data of other contacts for no longer than one year after our last contact with them.

FOR ALL PERSONS WHOSE PERSONAL DATA WE PROCESS

We use the services of Microsoft (including Windows and Office and the associated storage facilities for emails and other files). Microsoft Corporations Inc has its registered office in the US. By using its services, personal data is therefore passed on to the US. Microsoft has a Privacy Shield certificate. This guarantees the protection of your personal data.

Our website and email are hosted by an external party. For this reason, we also pass on personal data to this/these party/parties. We have a legitimate interest in passing on your data to Microsoft and to our website and email host and that is to purchase certain services from third parties.

YOUR RIGHTS

You have the right to ask us to allow you to inspect your own personal data. If there is a reason for this, you may also request us to make an addition to your personal data or to change any inaccuracies. In addition, you have the right to ask for your personal data to be removed or to limit the use of your personal data.
